NDA. Import substitution: migrating from SAP to 1C:ERP (payroll and HR in 1C:ZUP)
Industry: IT, software
Headcount: 6,000
Software: 1C:Payroll and HR Management 8 CORP (1C:ZUP)
Number of workstations (user seats): 50
Project goal: Complete the migration to the Russian-made 1C:Payroll and HR Management 8 CORP (1C:ZUP) so that the payroll and HR teams work in a single system.
Objectives:
• Migrate HR records from a foreign system
• Standardize HR processes across the group of companies
• Load data into a single 1C:ZUP CORP database
• Automate and customize printed output forms
• Integrate with in-house systems
Situation before the project
The company was running an international system and needed to switch to Russian software.
The company had tried to implement 1C:ZUP CORP on a tight schedule. To get payroll running quickly, the first step was an integration “bus” for exchanging HR documents with the outdated foreign solution.
The client has an extensive network of companies, each with its own forms, settings, and so on. So at the first stage, the HR team kept working in the legacy system while the payroll team received data in 1C:ZUP. This relied on a custom-written “bus” that caused complications and errors.
Project specifics
- The company had spent 10–15 years automating its HR function on the old system. Over that time, a large number of business processes had been customized and automated that the new system did not have. Because the migration was urgent and no ready-made solutions existed, many accounting issues arose and many processes had to be handled manually. We had to migrate a large volume of historical data for previous years from the old software and build our own data exchange buses.
- The entire group of companies had to be brought onto a single methodology. That meant about 50 HR specialists, each with their own print forms and established documents.
- The company also had other in-house systems, and the old system exchanged data with them. We had to develop data exchange between those systems and the new 1C:ZUP system.

Work performed
• Moved HR records and payroll to the target product, 1C:ZUP CORP
• Standardized key HR and payroll business processes across the group of companies
• Integrated the target 1C:ZUP CORP system into the group-wide integration landscape
• Customized the mechanisms for staffing tables, vacation planning, and notification and approval of deviations
• Customized reporting forms and primary document forms
Results
- The new system (1C:ZUP) is running not only for day-to-day operations: historical data has also been migrated from the old system. As a result, the company was able to fully abandon the expensive foreign system that was no longer available.
- At the same time, the new 1C:ZUP CORP system reached a level of automation no lower, and in fact higher, than the previous system that had been customized for years.
- New customizations follow 1C standards, so the system is easy to update and does not require major financial or labor costs.
The client
- received high-quality system support from the vendor, 1C
- saved the resources previously tied up in exporting data from the old system. Employees exported data, reconciled it, and reloaded it. Catalogs and item records were often duplicated
- gained a single payroll methodology across all group companies
- achieved a higher level of business process automation than in the previous system, because 1C can be customized and extended quite quickly
- was able to develop its automation system quickly and effectively
Errors reduced by 20%
Labor costs reduced by 40%
Support responsiveness improved by 100%
